What a grounds contract covers

Every contract starts with a written scope so both sides know exactly what’s in and what’s a variation. Below is the standard scope — yours gets built from it.

Visit frequency moves with the season. Growth in the Bay of Plenty runs hard from Labour Weekend through to autumn, so most sites step up to weekly or fortnightly over summer and ease back to monthly through winter. That’s built into the annual price rather than charged as extras.

How a contract actually starts

No lengthy tender process for most sites. From first call to first scheduled visit is usually a couple of weeks, and you’ll know the annual number before you commit to anything.

    We walk the property with you, measure the turf and bed areas, note access constraints, trading hours and anything that needs special handling.

    Scope & programme

    A written scope of works, a visit calendar for the year with frequency stepping up and back by season, and a fixed annual price broken into monthly instalments.

  3. Step 3

    Safety plan & induction

    A site-specific safety plan covering the hazards on your property, plus whatever induction, sign-in or vetting your site requires before we start.

  4. Ongoing

    Visits & reporting

    Same crew, same slot. A report after each visit covering what was done and anything we spotted, and a programme review with you each year.

Larger sites, council work and anything requiring formal prequalification will take longer to onboard — we’ll be upfront about the timeline at the site walk rather than promising a start date we can’t hold.

What you should be asking any grounds contractor for

Under the Health and Safety at Work Act 2015 you and your contractor are overlapping PCBUs, with a duty to consult, cooperate and coordinate. In practice that means paperwork — here’s what we bring to it.

Ask for this from everyone you quote. A contractor who can’t produce an insurance certificate and a safety plan is a risk that lands on your organisation, not theirs. If a cheaper quote comes without paperwork, that’s usually why it’s cheaper.

How commercial grounds work is priced

Sites are too different for a price list, so we quote per property after walking it. What we can tell you is how the pricing is structured and what moves it.

Annual programme, monthly instalments Total year of work priced once, then divided evenly across twelve months. You pay the same each month even though summer visits are more frequent than winter ones — which makes budgeting and body corporate levies straightforward.

What facilities managers, body corporate committees and business owners ask us most.

How often will you visit our site?

It varies through the year rather than being fixed. Growth in the Bay of Plenty runs hard from Labour Weekend into autumn, so most commercial sites need weekly or fortnightly visits over summer, easing back to monthly through winter. The full year’s calendar is set out in your programme up front, and it’s all included in the annual price rather than billed as extras when growth picks up.

Do you lock us into a long contract?

Programmes are written annually because that’s how the seasons and your budget work, but they’re not a trap. There’s a straightforward exit if we’re not delivering, and we’d rather you could leave than have you stuck with us and unhappy. Reviewing the scope each year is a normal part of it — sites change.

Can you work outside our trading or contact hours?

Yes, and for retail, hospitality and schools it’s usually the sensible answer. Early starts before a site opens are standard. Some constraints add cost because they reduce how efficiently we can route the day, so it’s worth raising at the site walk rather than after the price is set.

What health and safety documentation do you provide?

A site-specific safety plan for your property covering the hazards, controls, incident reporting and emergency arrangements, plus a current public liability certificate. Under the Health and Safety at Work Act 2015 we’re overlapping PCBUs with you, so we’ll also agree who notifies WorkSafe in the event of a notifiable event. Our crew completes whatever induction or sign-in process your site runs.

Are you prequalified through SHE or Tōtika?

Bay of Plenty and Waikato councils generally require prequalification for high-risk or long-term work, usually through SHE or a Tōtika-aligned provider. Tell us what your organisation requires when you enquire and we’ll give you a straight answer about where we currently sit, rather than finding out three weeks into a procurement process.

Do you handle spraying, and how is it managed?

Yes — weed control on kerbs, cracks, carpark edges and beds is part of most commercial programmes. Application is carried out under the Hazardous Substances Regulations 2017, with the product, rate, date and area recorded, and treated areas signposted. On school and childcare sites we schedule it outside contact hours and give you notice beforehand.

What happens after a storm or an unexpected issue?

Ring us and we’ll get there. Anything creating an immediate hazard — a limb across a carpark, debris blocking an exit — gets made safe first and quoted after. Larger remediation is quoted and approved before we do it. Storm work sits outside the programme scope, so it doesn’t quietly consume visits you’ve already paid for.

Can you take on several sites for us?

Yes, and it’s where we’re genuinely better value. Travel and administration get charged once rather than per property, and routing sites together on the same day takes real cost out. You get one agreement, one schedule and one monthly invoice with each site itemised separately for your own on-charging.

How do you handle complaints from tenants or residents?

They come to you, and you send them to us — we don’t want your residents ringing us directly and we don’t want you fielding questions about mowing heights. Anything raised gets addressed on the next visit or sooner if it’s a safety matter, and you get a written note back so you can close the loop with whoever raised it.

How is GST handled on your quotes?

Prices are quoted exclusive of GST, with GST added at the standard rate on your invoice. Green waste disposal is included in the programme figure. The annual total is split into equal monthly invoices, and variations are quoted separately and only proceed once you’ve approved them.
